Mission
 As an Office Manager for Trafilea, your mission is to create an efficient, organized, and productive work environment that supports the company's operations and its contributors.
Your role is instrumental in ensuring the smooth functioning of the office, allowing all other teams and departments to work effectively. You will be responsible for overseeing the day-to-day administrative and operational activities, which includes managing office resources, supervising administrative staff, and implementing processes to streamline office operations, additionally, you will be managing various administrative, logistical, and financial aspects.


Job requirements

Accountabilities (General responsabilities) 

  • Ensure the maintenance and proper functioning of the office

  • Attend to the needs of in-house staff. Documents, contracts, work articles

  • Provide support to board members if requested

  • Supplier coordination

  • Travel coordination

  • Coordination of lunches, dinners or special events

  • Coordinate dispatch and storage of samples that arrive at the office

  • Own the relationship with building management on all issues concerning office facility (i.e., maintenance, emergency management, security)

  • Coordinate on-boarding of new hires, office event planning and participation in group-wide initiatives as assigned (i.e., conference coordination, offsite planning.)

  • Select vendors for general office services and supervising contractors while on-site.

  • Provide general administrative assistance to the office staff

  • Manage the overall operations of the Uruguay office

  • Manage document signing and deliver documents in Montevideo

  • Keep document folders organized and up to date

  • Use and registration of petty cash

  • Coordinate dispatch and storage of samples, organizing process and stock in the office.

  • Manage petty cash and submit Accounts Payable vouchers, ensuring that proper accounts are used, and amounts are correct and that proper and organized documentation is provided.

  • Oversee certain accounting and financial processes.

  • Assist Legal department in the coordination of signatures and organizing physical documentation at the office.

    Requirements

    • 2 + Years of experience in Office Management or Administrative Tasks

    • Studies related to Business or Administration.

    • Some experience in admin for banking

    • Some experience in export / import of samples

    • Excellent communication and teamwork skills.
