We are looking for a Shipping Specialist to provide daily, on-the-ground visibility and control over DDP shipments in China by ensuring all factory loads comply with Trafilea’s shipping standards, documentation requirements, and tracking timelines. The specialist works closely with factories to confirm carton accuracy, validate vendor accountability, and monitor the flow from factory readiness (XFD) through shipment departure (ATD). Responsibilities include proactively coordinating with brokers for seamless handoff, resolving documentation discrepancies, and tracking shipments to reduce post-departure issues. The role collaborates with Logistics, Vendor Management, and Compliance teams to strengthen shipping SOPs, enforce best practices, and drive continuous improvements in accuracy, timeliness, and vendor reliability.

Expected outcomes & responsibilities

  • Perform on-site visits to factories and/or broker warehouses to inspect shipments prior to container loading.

  • Validate palletization, packaging condition, PO separation, labeling, and carton counts according to Trafilea’s DDP shipping SOPs.

  • Review and confirm accuracy of all shipping documents (packing list, invoice, label list, booking info).

  • Track each shipment’s progress from XFD to ATD, and flag any delays or vendor non-compliance.

  • Push vendors and brokers for missing tracking numbers, late document submissions, or delivery confirmations.

  • Prioritize and track critical shipments to ensure they meet shipping windows and documentation cutoffs.

  • Complete and send a daily report with shipment-level updates by vendor and factory.

  • Ensure correct use of shipping methods by factory (Fast boat, Slow boat, Air).

  • Support automation of current manual files used for daily shipment tracking and vendor follow-up.

Experience/ Qualifications

  • 5+ years of experience in international logistics, supply chain, or global trade operations.

  • Strong knowledge of end-to-end logistics processes, including purchase order creation, freight booking, shipment tracking, and commercial documentation.

  • Hands-on experience with ERP systems (preferably NetSuite) and logistics/e-commerce platforms.

  • Advanced English proficiency (written and spoken), with the ability to communicate clearly with international vendors and cross-functional teams.

  • Excellent organizational and follow-up skills, with the ability to handle multiple simultaneous processes accurately.

  • Advanced to advanced Excel and Google Sheets skills, especially for daily and weekly reporting tasks.

  • Detail-oriented and process-driven mindset, with a strong focus on continuous improvement and meeting operational KPIs.

  • Experience using GenAI tools (ChatGPT, Claude, Copilot) to automate documentation, task execution, or analysis

  • Familiarity with low-code/no-code automation platforms (Zapier, Make, n8n, Google Apps Script)

  • Hands-on experience with dashboards, process design, or logistics optimization in e-commerce

  • Understanding of invoice audits and entry statement compliance (U.S. market)

  • Experience driving operational efficiency or owning vendor-facing workflows

  • Full-time availability within a time zone compatible with U.S. business hours.

Nice to have:

  • Previous experience managing National and International Brands in retail or e-commerce environments.

  • Familiarity with automation tools (e.g., Zapier, Make, Power Automate) or AI applications for process optimization.

  • Experience working with 3PL platforms such as ShipHero, Flexport, Amazon Seller Central, etc.

  • Basic knowledge of data analysis and visualization tools (Tableau for example)

  • Educational background in International Trade, Logistics, Industrial Engineering, Business Administration, or related fields.

  • Exposure to agile methodologies or project/task management platforms (Eg: Notion, Monday, Asana)
